TERMS AND CONDITIONS FOR APPOINTMENTS

Terms & Conditions

Sophie Gregory – South West Mobile Equine Weighbridge

Last updated: October 2026

These Terms & Conditions apply to all bookings and services provided by Sophie Gregory – South West Mobile Equine Weighbridge ("I", "me", "my", "the Business").

By making a booking, you confirm that you have read, understood and agree to these Terms & Conditions.

1. Services

I provide a mobile animal weighing service throughout the South West of England, including private yards, riding schools, events, livery yards and other suitable locations.

I can weigh horses and other animals where it is reasonably safe and practicable to do so. Tack, equipment and other items associated with the animal may also be weighed where requested.

The standard service provided is weighing only. Any nutritional, feed or weight-management advice is a separate service and may incur an additional charge.

I reserve the right to decline to weigh an animal where, in my reasonable opinion, doing so would present an unacceptable risk to the animal, the owner/carer, myself, other people or the equipment.

2. Bookings and Appointment Times

Appointments are arranged based on the number of animals booked and the time reasonably required to complete the appointment.

When making a booking, customers should provide accurate information regarding:

  • The number of animals to be weighed;

  • The type and size of animals;

  • Any relevant behavioural or handling considerations;

  • The location and access arrangements;

  • Whether tack or equipment is also to be weighed; and

  • Any other information that may reasonably affect the appointment.

Appointment times are estimates and may occasionally be affected by traffic, weather, previous appointments, unforeseen circumstances or the behaviour of animals.

I will make reasonable efforts to arrive within the agreed appointment window, but I will keep you updated.

3. Changes to Bookings

As appointment times are calculated partly according to the number of animals being weighed, significant changes to the number of animals included in a booking may affect the appointment time and/or price.

Customers must notify me as soon as possible if the number of animals changes.

For group bookings, the person making the booking is responsible for ensuring that all participants are aware of the booking arrangements and these Terms & Conditions.

4. Payment

Payment is required on the day of the appointment or prior to the appointment, unless an alternative payment arrangement has been agreed with me in advance.

Payment may be made by:

  • Cash;

  • Card, subject to suitable mobile signal; or

  • Invoice, where this has been agreed in advance.

Card payments are dependent on mobile signal. If the location has poor or no signal, customers should plan ahead and have an alternative payment method available, such as cash, unless another arrangement has been agreed beforehand.

Where an invoice has been agreed, payment is due within 14 days of the invoice date.

Prices may vary depending on the geographical zone, day of the booking, travel requirements, number of animals and/or special locations such as the Isle of Wight. The applicable price will be confirmed at the time of booking where reasonably possible.

5. Late Payment

Where payment is not received by the agreed due date, I reserve the right to charge statutory interest and any applicable statutory compensation or recovery costs permitted by law.

Unpaid invoices may be pursued for payment. This may include the use of debt-recovery procedures and, where necessary, legal proceedings through the courts.

Any reasonable costs that I am legally entitled to recover in connection with an unpaid debt may also be sought.

6. Cancellation Policy

I understand that plans can change. If you need to cancel your booking, please provide at least 24 hours' notice.

Cancellations made less than 24 hours before the scheduled appointment may incur a cancellation charge of % of the total booking fee.

As appointment times are based on the number of horses/animals booked, significant reductions in the number of animals being weighed with less than 24 hours' notice may also be treated as a cancellation or partial cancellation and may incur a charge.

I will consider exceptional circumstances at my discretion.

7. Access and Suitable Location

The customer is responsible for ensuring that the agreed location is suitable and reasonably accessible for the mobile weighbridge.

This includes ensuring that:

  • There is suitable access for the vehicle and weighing equipment;

  • The weighing area is reasonably level, stable and suitable for use;

  • There is sufficient space to safely load and unload the animal onto the weighbridge;

  • Any gates, entrances or access points are suitable for the vehicle and equipment;

  • The area is free from avoidable hazards; and

  • Any necessary permissions to use the location have been obtained.

Customers should notify me in advance of any access restrictions, narrow lanes, difficult entrances, steep gradients, low bridges, restricted parking or other circumstances that may affect access.

I reserve the right to refuse to proceed if access or the weighing area is considered unsafe.

8. Owner/Carer Responsibility

The owner, keeper or person responsible for the animal remains responsible for the animal at all times.

The owner or an appropriate and competent carer who knows the animal must be present during the appointment.

The person handling the animal must have sufficient knowledge and ability to safely handle that animal.

Customers must inform me before the appointment of any known behavioural, medical or handling issues that could reasonably affect safety, including but not limited to:

  • Kicking;

  • Biting;

  • Rearing;

  • Striking;

  • Bolting;

  • Aggression;

  • Extreme fear or anxiety;

  • Previous difficulties loading onto weighing equipment; or

  • Any other behaviour that may present a risk.

Failure to disclose relevant information may result in the appointment being stopped.

9. Animal Welfare and Safety

Animal welfare is a priority.

I reserve the right to stop or abandon a weighing at any time if I believe that an animal is becoming excessively distressed, frightened, dangerous or otherwise unsuitable to continue.

I will not knowingly place an animal, person or piece of equipment in an unnecessarily dangerous situation simply to complete a weighing.

No refund or compensation will automatically be due where an appointment cannot be completed because an animal cannot safely be weighed.

Any decision to stop a weighing on welfare or safety grounds will be made reasonably and in good faith.

10. Handling and Training Methods

I do not tolerate or encourage aversive training, excessive force, intimidation, or negative handling of animals during my appointments.

I reserve the right to stop or abandon an appointment if I consider that an animal is being handled in a manner that is unnecessarily harsh, abusive, excessively stressful or otherwise contrary to its welfare.

I may also leave the premises where I consider the situation to be unsafe or where my reasonable instructions regarding the safe handling of an animal are not followed.

11. Responsibility for Damage

Customers are responsible for taking reasonable care of the weighing equipment and surrounding property during the appointment.

Where an animal or person causes significant damage to the weighbridge or associated equipment as a result of negligent, reckless or inappropriate behaviour or handling, I reserve the right to seek reasonable compensation for the cost of repair or replacement, subject to applicable law.

I will provide details of any claimed damage and associated costs where appropriate.

12. Multiple-Horse and Group Bookings

Where one person arranges a booking involving multiple horses/animals or multiple owners, the person making the booking is responsible for coordinating the appointment.

Unless otherwise agreed in advance, the person making the booking is also responsible for ensuring that all charges due in connection with the booking are paid.

If an individual participant fails to pay their agreed fee, the booking organiser may be contacted regarding the outstanding amount.

The booking organiser should ensure that all participants are aware of:

  • The appointment time;

  • The applicable price;

  • The cancellation policy;

  • Payment arrangements; and

  • These Terms & Conditions.

13. Weighing Accuracy and Limitations

The weighbridge is used to provide an estimated live weight of the animal or items being weighed.

While I take reasonable care to operate and maintain the equipment correctly and have it calibrated yearly, weighing results can be affected by factors including animal movement, positioning, equipment conditions, environmental conditions and other variables.

Where an accurate weight is required for veterinary, medication or other clinical purposes, customers should discuss the appropriate requirements with their veterinary professional.

I am not responsible for decisions made by a customer or third party solely on the basis of a weighing result.

14. Veterinary, Nutritional and Other Professional Advice

The standard weighing service does not constitute veterinary, medical, nutritional or other professional advice.

Where nutritional or weight-management advice is separately provided, the terms and charges for that service will be confirmed separately.

Customers remain responsible for seeking appropriate veterinary advice where an animal has a medical condition, unexplained weight change or other health concern.

15. Weather and Unforeseen Circumstances

I reserve the right to postpone, cancel or rearrange an appointment where weather, road conditions, flooding, extreme temperatures, unsafe ground conditions or other circumstances make the journey or weighing operation unsafe or impractical.

Where reasonably possible, I will contact the customer as soon as I become aware of a problem and will seek to rearrange the appointment.

I will not be responsible for delays or inability to attend caused by circumstances outside my reasonable control.

16. Biosecurity

We care deeply about the health and wellbeing of every horse we visit.

Because the weighbridge is mobile and travels between multiple yards and premises, we take additional precautions to minimise the risk of spreading infectious diseases between horses and locations.

Our Biosecurity Measures

We will:

  • Clean and disinfect the weighbridge and relevant equipment before and after every visit, using appropriate cleaning and disinfection procedures;

  • Wear clean clothing and footwear when attending each yard where reasonably practicable;

  • Take reasonable precautions to prevent cross-contamination between yards;

  • Keep appropriate records relating to cleaning and disinfection; and

  • Stop the weighing service and notify the customer if a health or biosecurity concern arises during a visit.

What We Ask From You

To help us maintain good biosecurity, customers must:

  • Inform us before the appointment if the yard, premises or any animal attending the appointment has a known or suspected infectious disease or has recently been affected by an infectious disease. This includes, but is not limited to, Strangles, Equine Herpes Virus (EHV), Ringworm or other contagious conditions;

  • Tell us if there are any current isolation or quarantine requirements at the premises;

  • Provide a reasonably clean and level area for the weighbridge. The area does not need to be perfectly level, but it must be suitable and safe for the equipment and animal;

  • Ensure horses are reasonably clean and ready to be weighed, particularly their hooves, to help minimise contamination of the weighing equipment;

  • Follow any reasonable biosecurity instructions provided by us; and

  • Inform us promptly if a relevant health concern becomes known between booking and the appointment.

Biosecurity Concerns and Rescheduling

We reserve the right to postpone, refuse or stop an appointment where we reasonably believe that attending or continuing the appointment could present an unacceptable biosecurity risk.

We are always happy to discuss rescheduling an appointment where there is a known or suspected infectious disease or other significant biosecurity concern.

Where possible, we will work with the customer to find an alternative date once it is considered appropriate and safe to attend.

Customers must not knowingly arrange a booking without disclosing a relevant infectious disease or biosecurity concern at the premises.

Our Commitment

We follow appropriate cleaning and disinfection procedures, maintain relevant records and take reasonable precautions to reduce the risk of disease transmission between yards.

However, due to the nature of working with animals and travelling between multiple premises, we cannot guarantee that disease transmission will never occur.

Horse welfare and biosecurity will always be prioritised over completing a weighing appointment.

17. My Right to Refuse or End an Appointment

I reserve the right to refuse, postpone or end an appointment where:

  • The animal presents an unreasonable safety risk;

  • The animal is excessively distressed;

  • The owner/carer is unable or unwilling to safely handle the animal;

  • Appropriate handling instructions are not followed;

  • The location or access is unsafe;

  • The weighing area is unsuitable;

  • Equipment may be damaged;

  • There is abusive, threatening or inappropriate behaviour towards me or others; or

  • Continuing would, in my reasonable opinion, compromise animal welfare or safety.

Where an appointment is ended for these reasons, I will explain the reason where reasonably possible.

18. Liability

Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited under applicable law.

Customers and other persons attending the appointment are responsible for taking reasonable care of themselves and others while the weighing equipment is being used.

The weighbridge and associated equipment must be treated as an area of work and customers should take reasonable care when walking around, approaching or moving across or near the equipment.

Where the weighbridge is positioned on the ground, there may be unavoidable trip hazards associated with the equipment, its platform, ramps, edges or surrounding area. Customers and other persons attending the appointment should take appropriate care and follow any reasonable safety instructions given.

Subject to applicable law, I will not be responsible for injury, loss or damage arising from a person failing to take reasonable care around the weighbridge or from tripping, slipping or falling over or against the weighing equipment, except to the extent that such injury, loss or damage has been caused by my negligence or other liability that cannot legally be excluded.

The owner, keeper or person responsible for the animal remains responsible for the animal at all times. Animals can behave unpredictably, and customers acknowledge that handling and weighing animals carries inherent risks.

I take reasonable precautions to operate the weighbridge safely, but I cannot guarantee that an animal, owner, handler or other person will not suffer an injury or that an animal will not cause damage.

Customers are responsible for informing me of any relevant hazards at the premises that could affect the safe operation of the weighing service.

Nothing in these Terms & Conditions is intended to exclude or restrict any rights or protections that a customer has under applicable law.

19. Personal Information

I may collect and retain information necessary to arrange and administer bookings, including customer names, contact details, booking information, location information and weighing records.

Personal information will be handled in accordance with applicable UK data protection legislation and my Privacy Policy, where applicable.

20. Complaints

If you have a concern about the service provided, please contact me as soon as reasonably possible so that I have an opportunity to understand the issue and resolve it.

Complaints should preferably be made in writing so that the matter can be properly reviewed.

21. Changes to These Terms

I reserve the right to update these Terms & Conditions from time to time.

The version applicable to a booking will generally be the version in effect at the time the booking is made, unless otherwise required by law or agreed with the customer.

22. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes will be subject to the jurisdiction of the courts of England and Wales, subject to any rights that consumers may have under applicable law.

23. Acceptance of Terms

By making a booking with Sophie Gregory – South West Mobile Equine Weighbridge, the customer confirms that they have had the opportunity to read and understand these Terms & Conditions and agrees to be bound by them.
